1. Who is responsible for your data
This website, Cloudberry Hub (cloudberryhub.com), is operated by Yohei Miyazaki, an independent business coach acting as a private individual (sole practitioner). There is no company registration number because no company is registered. Services are delivered online only and there is no public office address; all correspondence is by email at hello@cloudberryhub.com. If you need a postal address for a formal data protection request, write to that email and it will be provided to you directly.
2. What data is collected
- Data you send through the contact form or by email: your name, email address, a short description of your activity, the format you are interested in and the content of your message.
- Data needed to deliver sessions: scheduling details and any documents or figures you choose to share for a case review.
- Technical data: the hosting provider records standard server log data such as IP address, browser type and pages requested, for security and diagnostics.
- Analytics data, only with your consent: aggregated statistics about page visits, described in the Cookie Policy.
No special-category data is requested. Please do not send health information, identity document copies or payment card numbers by email.
3. Why the data is used
To reply to your enquiry, agree the scope of work, prepare and deliver sessions, keep session notes for continuity, comply with tax and accounting obligations where they apply, and — with consent — understand how the website is used. Your data is never sold, rented or used for advertising profiling.
4. Legal bases
Where the GDPR applies: performance of a contract or steps prior to it (enquiries and sessions), consent (analytics cookies and any optional emails), legal obligation (record keeping), and legitimate interests (site security).
5. How long data is kept
- Enquiries that do not lead to work: up to 12 months, then deleted.
- Client session notes and correspondence: up to 3 years after the last session, so returning clients have continuity.
- Records required for tax or accounting: for the statutory retention period applicable in the coach's country of residence.
- Server logs: as retained by the hosting provider, typically a few weeks.
6. Who else may process data
Only service providers necessary to run the practice: the website hosting provider, the email provider, the video call platform used for sessions, the form or scheduling service connected to this site, and the analytics provider if you accepted analytics cookies. Each processes data on instruction and none is authorised to use it for its own purposes. Some may operate outside your country, in which case transfers rely on standard contractual clauses or an equivalent safeguard.
7. Your rights
You may request access to your data, correction, deletion, restriction of processing, portability, and you may object to processing based on legitimate interests. Consent to analytics can be withdrawn at any time by clearing the site cookies. Requests go to hello@cloudberryhub.com and are answered within 30 days. If you are in the EEA or the UK you may also complain to your national data protection authority.
8. Security
The site is served over HTTPS. Client documents and notes are kept in access-controlled storage with strong authentication. No online transmission is completely secure, so please send only what is necessary for the work.
9. Children
Services are intended for adults. Data from anyone under 18 is not knowingly collected; if it is sent, it will be deleted on notice.
10. Changes
If this policy changes, the revised version is published on this page with a new date. Material changes affecting existing clients are communicated by email.
